Job Title Administrative Coordinator
Reports To Office Manager
FLSA Hourly
Function This position, in conjunction with the Office Manager, will be responsible for administrative support across the Boulder Chamber.
Responsibilities Member data maintenance, relationships and support
  • Primarily responsible for data entry, maintenance, validation and reporting for our Customer Relationship Management tool, including daily, monthly and event-based processes
  • Participate in member service and retention plans including thank you notes, outreach calls, email and print collateral delivery
  • Support monthly member invoicing and past due calls
  • Research information on Boulder companies for use in nominations, outreach meetings, program participation, etc.
  • Maintain contact lists for targeted customer groups.
Meeting Coordination
  • Coordinate internal and external meeting logistics including calendar scheduling, attendee invite and tracking, meeting materials, room setup, food delivery, and in person attendance as required
  • Manage conference room calendar and room rental contracts
General Office Administration
  • Work with Office Manager to ensure appropriate internal inventories of office, kitchen and department supplies
  • Upkeep of materials in lobby
  • Support administrative requests and projects throughout the organization
  • Help monitor and support customer service contact channels including voicemail, email and walk-ins as needed
  • Support work to create and maintain a professional and welcoming environment, both within the building and outside
Other Duties
  • Recognize staff for birthdays and work anniversaries.
  • Process Certificates of Origin
  • Other duties, tasks and responsibilities as assigned
Skills & Abilities

Technological Proficiency – knowledge and comfort with technology including CRM platforms, office productivity tools including spreadsheets, and website tools
Customer Service – maintain a high level of engagement, empathy, problem-solving and communication with internal and external constituents to ensure an excellent experience with the Chamber
Organizational and Multi-tasking – be able to organize and handle multiple tasks and projects at once in a fast-paced environment to meet priorities and deadlines
Detailed Oriented – high attention to detail for data entry, written and verbal communications and project tasks
Communication Skills – excellent written, phone and verbal communication abilities

Solution Oriented – identify and suggest improvements and efficiencies to processes and interactions to improve effectiveness and customer experience

Working Conditions Position requires professionalism in appearance and actions, and flexibility to work occasional early morning and evening hours for meetings and events
Typical Physical Demands Operate normal business office equipment.  Must be able to travel efficiently to off-site meeting locations throughout the Boulder area. 
Compensation $15 - $17/hr - Depending on experience, plus bonus opportunity
